UClub Privacy Policy

UClub is a campus club, event, membership, dues, messaging, and organizer operations app operated by JD Media Company (“UClub,” “we,” “us,” or “our”). This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use the UClub mobile app, website, and related services (collectively, the “Service”).

This policy is intended to cover the full UClub app experience, including student accounts, club leader tools, campus admin tools, event registration, chat, media uploads, dues payments, push notifications, feedback, and account deletion.

Information We Collect

Account and profile information

When you create or update an account, we may collect:

  • Name, email address, phone number, and authentication information.

  • Account type, university or campus, major, interests, expected graduation term or year, NetID or campus identifier if provided, onboarding status, and profile photo.

  • User preferences such as theme, notification settings, saved clubs, saved events, follows, and other app settings.

Club, event, membership, and organizer information

When you use UClub to participate in or manage campus organizations, we may collect:

  • Club memberships, officer roles, custom permissions, role invites, membership status, dues status, and roster-related information.

  • Club submissions, descriptions, categories, official links, advisor names and emails, review notes, approval status, archive status, and related organizer/admin records.

  • Event registrations, commitment level, check-in status, event attendee lists, event content, and event images.

  • Announcements, forms, form fields, form responses, segment previews, reports, blocks, and other club management records.

Messages and user content

UClub includes chat, direct or group conversation features, announcements, forms, media uploads, and feedback tools. We may collect:

  • Message text, sender information, timestamps, reactions, replies, mute settings, and conversation participation records.

  • Photos, images, videos, avatars, club banners, event images, and chat media you choose to upload.

  • Feedback, support requests, bug reports, app version, platform, and device name when submitted through the app.

Some user content, such as profile avatars and club media, may be publicly viewable or accessible by other users depending on where it appears in the Service.

Payment and commerce information

UClub supports club dues, club payout setup, and premium club tools. We may collect:

  • Dues amount, billing period, payment status, refund status, payer contact details, payment identifiers, Stripe customer identifiers, Stripe connected account identifiers, and related transaction metadata.

  • Club payout status, Stripe Express onboarding status, Stripe requirements, and payout summary information for club officers.

  • Subscription or entitlement information for premium tools, including RevenueCat customer and entitlement data when those features are configured.

Card numbers, bank account numbers, and sensitive payment credentials are handled by payment providers such as Stripe, Apple, Google, and RevenueCat where applicable. UClub does not intentionally store full payment card numbers in its own database.

Device, permissions, and technical information

We may collect:

  • Device platform, app version, device name when included in feedback, authentication session information, logs, and diagnostic information.

  • Push notification tokens and notification preferences if you grant notification permission.

  • Photos, camera, microphone, or media-library access only when you grant permission and use features that need those permissions, such as uploading or sending media.

Automatically generated usage information

We may collect app activity needed to operate and improve UClub, such as impressions, taps, saves, joins, RSVPs, boost events, notification sends, event counts, registration counts, dues payment rates, and other club analytics shown to organizers. Limited product analytics may be processed by PostHog, and limited app error and performance diagnostics may be processed by Sentry.

How We Use Information

We use information to:

  • Create, authenticate, and secure user accounts.

  • Provide discovery, membership, event, chat, dues, notification, organizer, admin, and profile features.

  • Process dues and payment-related workflows through payment providers.

  • Enable club leaders to manage rosters, roles, dues, events, announcements, forms, exports, and communications.

  • Send transactional messages, push notifications, announcements, role invites, dues reminders, and support responses.

  • Moderate content, enforce community standards, respond to reports, prevent abuse, and protect users. If a user approves an in-app content-safety check, the submitted text or image may be sent to OpenAI solely to evaluate potentially harmful content.

  • Provide customer support, collect feedback, troubleshoot bugs, and improve the Service.

  • Maintain security, prevent fraud, comply with legal obligations, and enforce our Terms and Conditions.

  • Generate aggregate or de-identified analytics about club, event, and app activity.

We do not sell personal information. We do not use personal information for third-party advertising or cross-app tracking.

How We Share Information

We may share information with:

  • Other UClub users, when your profile, club membership, event registration, messages, role, avatar, club content, or other content is visible as part of the Service.

  • Club officers, organizers, and campus admins, so they can manage clubs, rosters, events, dues, forms, roles, submissions, reviews, reports, and communications.

  • Service providers that help us operate the Service, including Supabase for authentication, database, storage, and Edge Functions; Stripe for payments and connected account payouts; RevenueCat for subscriptions and entitlement management; Expo for push notification infrastructure; OpenAI, only when a user approves an in-app content-safety check, to evaluate submitted text or images for potentially harmful content; PostHog for product analytics; Sentry for app error and performance diagnostics; Brevo for transactional and support email delivery; and Apple or Google for app distribution, notifications, and device services.

  • Payment processors and financial partners as needed to process dues, verify payout accounts, prevent fraud, handle chargebacks or refunds, and comply with financial rules.

  • Legal, safety, and compliance recipients when we believe disclosure is required by law, needed to protect rights or safety, or necessary to enforce our terms.

  • Successors in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate protections.

User Content and Visibility

UClub is built for campus communities. Certain information you provide may be visible to others, including:

  • Profile name, avatar, university, major, graduation information, interests, and verified status where profiles are shown.

  • Club roles, officer status, membership status, event participation, and form or roster information where shared with club leaders or admins.

  • Messages, reactions, announcements, uploaded media, and other content posted in chat or club spaces.

  • Club and event content submitted by organizers.

Use care when posting personal information or media in club, event, chat, or form surfaces.

Permissions

Depending on the device and feature, UClub may request permission for:

  • Notifications, to send club announcements, event updates, chat alerts, role invites, and dues reminders.

  • Camera and photos/media library, to let you upload avatars, club media, event images, or chat media.

  • Microphone or audio-related permissions where required by the platform for media features.

You can change permission settings through your device settings. Some features may not work if permissions are denied.

Payments, Dues, and Refunds

Club dues and related payments are processed through third-party payment providers. UClub may store payment records, payment status, Stripe or RevenueCat identifiers, refund status, payer contact details, and related metadata, but payment card details remain with the payment provider.

Club dues are generally non-refundable unless otherwise required by law or expressly stated by the applicable club, university, payment provider, or UClub. Leaving a club may require paying dues again to rejoin, as disclosed in the app before checkout.

Data Retention and Deletion

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and keep accurate business and payment records.

You can request deletion of your account from the app settings where available. Account deletion is designed to delete or de-identify user-owned account records and remove associated authentication access. Some information may remain where retention is necessary or appropriate, including:

  • Payment, tax, accounting, compliance, fraud-prevention, security, or legal records.

  • Club, event, roster, announcement, message, or admin records where deletion would affect other users, club operations, audits, or legal obligations.

  • Backups and logs that are deleted on a routine schedule.

  • De-identified, aggregated, or anonymized information.

Your Choices

Depending on your location and applicable law, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information. You may also be able to withdraw consent where processing is based on consent.

You can update some account information in the app. You can change notification preferences in the app or through device settings. To make a privacy request, contact us at support@uclubtech.com.

Security

We use administrative, technical, and organizational safeguards designed to protect information, including authenticated access controls, row-level database policies, service-role separation, secure payment provider workflows, and permission-gated device features. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children and Students

UClub is intended for college, university, and campus community use. It is not directed to children under 13. If you believe a child under 13 has provided personal information to UClub, contact us so we can take appropriate action.

If you are under the age of majority in your jurisdiction, you should use UClub only with permission from a parent or legal guardian where required.

International Users

UClub is operated from the United States. If you use the Service from outside the United States, your information may be processed in the United States or other countries where our service providers operate. These countries may have privacy laws different from those in your jurisdiction.

Third-Party Services

UClub may link to or integrate with third-party services, including payment providers, app stores, university resources, club links, and support tools. Those services are governed by their own terms and privacy policies. We are not responsible for third-party services that we do not control.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and provide notice as required by law or platform rules. Your continued use of the Service after an update means the updated policy applies.
